PUBLICATION ETHICS
The Publication Ethics and Malpractice Statement of Diwan: Jurnal Bahasa dan Sastra Arab is enforced by several authoritative institutions, namely the Committee on Publication Ethics (COPE), World Association of Medical Editors (WAME), International Committee of Medical Journal Editors (ICMJE), Consolidated Standards of Reporting Trials (CONSORT), and Regulation of the Minister of Education, Culture, Research and Technology of the Republic of Indonesia Number 39 of 2021 concerning Academic Integrity in Scientific Paper.
1. Ethical Guideline for Journal Publication
a. All individuals engaged in the work, including published authors, journal editors, reviewers, and publishers, agree with the publishing policy of Program Studi Bahasa dan Sastra Arab Fakultas Adab dan Humaniora Universitas Islam Negeri Imam Bonjol Padang.
b. The publisher, Program Studi Bahasa dan Sastra Arab Fakultas Adab dan Humaniora Universitas Islam Negeri Imam Bonjol Padang, guarantees that they will not exert any influence on the editor's choice to publish manuscripts.
c. Published papers must be safeguarded against defamation, copyright infringement, plagiarism, and legal violations.
d. Reviewers are required to evaluate articles that have been published before their publication. This initiative aims to enhance the caliber of published manuscripts to ensure they provide valuable insights to readers or users of research findings.
e. To prevent any potential conflicts of interest, the editor-in-chief, managing editor, section editor, and copy editor are prohibited from disclosing the identities of the reviewers who evaluate an author's work, or vice versa.
f. The editorial decisions are made based on the manuscript's suitability for the journal's scope, its impact, and its overall quality.
2. Responsibilities and Rights of Editors
a. Role of editor
1) The Editor-in-Chief holds the highest authority in directing the Diwan: Jurnal Bahasa dan Sastra Arab and overseeing the publication of submissions.
2) The Editor-in-Chief assigns the Managing Editor to manage the editor, who delivers manuscripts to the editorial board for an internal review. The managing editor coordinates the publication schedule by consulting with the Editor-in-Chief to determine which articles will be published, taking into account feedback and recommendations from Section Editors and Reviewers.
3) The Section Editor serves as the primary evaluator and facilitator between the Author and Reviewers about the evaluation, revision, recommendation, and feedback on the paper. The Section Editor will exercise their discretion in determining which submissions should be published by providing recommendations to the Managing Editor and Editor-in-Chief.
4) The Copyeditor serves as a proofreader and layout editor. The manuscript is formatted according to the template, with references and grammar checked, and the file type is converted to PDF for publication. The manuscript has the option to be published either online or in print format.
b. Publication Decisions
The Section Editor of Diwan: Jurnal Bahasa dan Sastra Arab has to determine which paper will be published. During this stage, the editor might engage in discussions with the Reviewers to determine which paper will be selected for publication. The section editor has approved the manuscript to undergo layout formatting, grammatical and reference checks, as well as a file format conversion from .DOC to .PDF. The manuscript will then be sent to the managing editor for publication. The Managing Editor will organize the publication timetable based on the manuscript's queue. If the maximum number of manuscripts allowed in an issue, which is 10, has already been reached, the manuscript will be published in the subsequent issue. The Editor-in-Chief will have complete authority to make the final decision regarding publication.
c. Fair Play
During the process of manuscript evaluation, editors are strictly prohibited from taking into account the author's race, gender, sexual orientation, region, ethnicity, nationality, or political views.
d. Confidentiality
The Managing Editor is prohibited from disclosing any information regarding the manuscript under review to any individual, including the Section Editor and Reviewers.
e. Involvement and Cooperation in Investigations
When an ethical complaint is received regarding a manuscript published by Diwan: Jurnal Bahasa dan Sastra Arab, the editor must take prompt and appropriate action. Once the event occurs, the Managing Editor will inform the writers, engage in discussions with the Editorial Board, and carefully assess any objections submitted by readers. The Editor will undertake the necessary action, which may include revising the publication, revoking the manuscript, or taking any other appropriate measures. Any claimed unethical behavior or behavior, even in a work that has been published for years, will be thoroughly investigated.
f. Disclosure and conflicts of interest
a) The Editor is not permitted to use manuscript material or data submitted by authors to Diwan: Jurnal Bahasa dan Sastra Arab unless the author has given permission, and it has not been published in the final manuscript.
b) The information or ideas gained from the review process must be kept confidential and cannot be used for personal benefit.
c) Editors who have published their paper in Diwan: Jurnal Bahasa dan Sastra Arab will not participate in the evaluation of the manuscript. The submission will undergo evaluation by additional editors, who will make decisions regarding its publication based on its alignment with the journal's scope, its impact, and its overall quality. The purpose of conducting this is to prevent any potential conflicts of interest.
3. Responsibilities and Rights of Reviewers
a. Contribution to Editorial Decisions
Reviewers advise the Editor in determining whether to accept or decline the paper for publication in Diwan: Jurnal Bahasa dan Sastra Arab.
b. Promptness
Reviewers have the option to reply to the request for manuscript review within the allocated timeframe. Alternatively, if they require additional time for the review process, they can inform the editor of this. If reviewers are unable to complete the review process within the designated timeframe, they are required to inform the Editor. In such cases, the manuscript will be reassigned to another reviewer.
c. Confidentiality
Every manuscript that is submitted for evaluation must be concealed. Communication or discussion on this matter is strictly prohibited unless approved by the editor.
d. Standards of Objectivity
To ensure the review process is fair, it must be handled objectively, without any unwarranted personal criticism of the author. Reviewers are required to provide a concise and precise assessment that aligns with the content of the manuscript, along with a supporting statement.
e. Acknowledgement of Sources
The reviewers are required to identify the pertinent published paper that the author has failed to reference. Every assertion, whether it is an observation, derivation, or argument, must be accompanied by a relevant citation to support it, as it has already been documented previously. Reviewers also inform the Editor of significant similarities or overlaps between the manuscript being reviewed and a previously published work in a different journal.
f. Disclosure and conflict of interest
Reviewers are not permitted to use manuscript materials or data submitted to Diwan: Jurnal Bahasa dan Sastra Arab by the author, as well as any materials that are not included in the final manuscript, without the author's explicit permission. The information or ideas gained via the review process must be kept confidential and cannot be used for personal benefit. During manuscript evaluation, it is strictly prohibited for any reviewer to take into account the author's race, gender, sexual orientation, region, ethnicity, nationality, or political views.
4. Responsibilities and Rights of Authors
a. Reporting Standards
Authors must methodically report the novelty of their completed study and impartially analyze its significance. Authors are required to report their findings with utmost integrity, refraining from any form of alteration, falsification, or use of unsuitable data. It is necessary to provide proper references and traceability for all citations so that others can also access and understand them. Engaging in fraudulent or deliberately misleading claims is considered unethical and not tolerated.
b. Data Access, Retention, and Reproducibility
Authors are required to carefully consider sharing raw data related to their work and allowing public access to it. This is provided for Editor review, if necessary. Authors are also required to retain that data for a reasonable duration following publication. Authors bear the responsibility for ensuring the replicability of data.
c. Originality and Plagiarism
Authors provide that they have written the paper with complete originality. It is necessary to properly credit manuscripts that have been published by other scholars or the authors themselves. Quotations from various authors' writings must be enclosed in quotation marks and accompanied by proper citations.
d. Multiple, Redundant, or Concurrent Publications
The authors prohibit the submission of the same research work to multiple publishers and journals. Engaging in the act of simultaneously submitting an identical paper to many journals is considered unethical and improper conduct in the realm of publishing. Research project manuscripts must exhibit variations in the data that is given.
e. Acknowledgment of Sources
Authors are required to acknowledge the data sources used in their research and include references to the appropriate journal and important publication when describing the attributes of the manuscript being submitted. In addition, they are required to provide appropriate attribution for any other works.
f. Authorship and Contributorship of the Paper
Contributors to research publications must clearly articulate their particular contributions to the work and provide reliable reports. Contributorship should be restricted to the authors who have made substantial contributions to the conception, design, implementation, or interpretation of the presented study. Additional individuals who have significant contributions must be officially registered as author collaborators. In this scenario, the primary author is the main contributor who is officially registered, while the author who has made a lesser or purely technical contribution will be acknowledged. The primary author also verifies that all writers have complied with and endorsed the manuscript, including their names as co-authors.
g. Fundamental Errors in Published Works
If authors discover errors or substantial inconsistencies in the submitted paper, they must promptly inform the Editor or publisher and collaborate with the Editor to either retract or update the manuscript.
h. Hazards and Human or Animal Subjects
To adhere to ethical standards for the use of animals and people in research, any research material that contains hazardous chemicals, processes, tools, or poses exceptional risks must be fully identified in the publication.
i. Disclosure and Conflicts of Interest
Authors are required to provide a clear and detailed account of any financial or other significant conflicts of interest in their article that could potentially impact the outcome or interpretation of their work. The publication must include a comprehensive presentation of all funding sources for the research study.
5. Allegation of Research Misconduct
Research misconduct includes serious issues such as the deliberate creation of false data, manipulation of citations, or the act of plagiarising during the process of conducting, executing, reviewing research, and producing publications or reporting findings. When instances of research misconduct arise concerning articles published in scientific journals, the Editor has to guarantee the accuracy and integrity of scientific records. The Editorial team follows the best practice of COPE (Committee on Publication Ethics) to evaluate allegations of research misconduct. Additionally, it utilizes the resolution of grievances and the equitable handling of wrongdoing. This will involve a thorough examination of the accusations made by the Editor.
If research misconduct is indicated, the submission will be denied. If it is discovered that the published article has occurred, it will be removed from the journal and appended to the original article. Several measures are taken to investigate research misconduct. The initial stage involves assessing the veracity of the accusation. During this stage, the article will be assessed to determine if the accusation is pertinent to the concept of research misconduct. If a paper is suspected of engaging in research misconduct, the Editor will inform the corresponding author and ask the Author to respond to the accusation.
Once the Editor receives the response, it will be assessed to make subsequent determinations. In other instances where research misconduct may still occur, a letter to the editor might be published to provide clarification, more analysis, or both. The letter contains both an updated notification and a modification that adequately addresses the published article.
Institutions should carry out thorough inquiries into complaints of research misconduct or violations of scientific ethics. It is the responsibility of authors, editors, and institutions to ensure scientific integrity. Diwan: Jurnal Bahasa dan Sastra Arab focuses on addressing claims of scientific and research misconduct. Thus, the journal is committed to maintaining the accuracy and honesty of published publications. Amendments, substitution of articles, and permanent removal from the journal will be directed toward the piece that has been accused.
6. Complaints and Appeals
Diwan: Jurnal Bahasa dan Sastra Arab has a well-defined protocol for handling any grievances regarding the journal, editorial board, or publisher. Those will be clarified to the relevant parties. The allegations encompass several aspects of the publication, including the editorial process, manipulation of citations, improper conduct by editors/reviewers, and manipulation of peer review. Complaints will be processed following the criteria set by COPE.
7. Ethical Oversight
To adhere to research ethics regarding the use of animals and humans, any research material that incorporates chemicals, humans, animals, processes, or items with unusual hazards must be properly identified in the paper. Researchers must obtain ethical approval from a legal association or organisation if required. When doing research that incorporates sensitive data and business/marketing strategies, researchers must justify how they will securely protect the data and information.
8. Intellectual Property (Copyrights Policy)

9. Peer-Review Process Policy
The review process will consider the novelty, objectivity, method, scientific effect, conclusion, and reference. Reviewers' remarks (comments) will be delivered to authors for necessary action and feedback. The Section Editor will evaluate the Reviewer’s comments and deliver the final decision regarding the submission based on the Reviewer's recommendation. 10. Plagiarism Screening Policy
Diwan: Jurnal Bahasa dan Sastra Arab will promptly examine and dismiss any manuscript that exhibits plagiarism or self-plagiarism. The Editorial Board of Diwan: Jurnal Bahasa dan Sastra Arab will ensure that every published submission has a similarity index of no more than 20%. The policy of plagiarism screening is outlined in this document.
11. Post-Publication Discussions and Corrections
Diwan: Jurnal Bahasa dan Sastra Arab welcomes readers' discussions and revisions of the published manuscript. Readers actively participate in conversations and provide modifications to published manuscripts. Readers can contact the Editor-in-Chief via email to provide explanations of discussions and corrections. If approved by the Editor-in-Chief, the discussion and revisions will be published in the upcoming edition as a Letter to the Editor. Authors have the option to respond to readers' discussions and revisions by submitting a Reply Letter to the Editor in Chief. Hence, the Editor has the authority to publish the response in the form of a Reply Letter to the Editor.
